201 Files & Document Management
CoinTrack Pro provides a digital 201 file system for each employee, keeping all employment documents organized and accessible.
Document Categories
- Pre-Employment: Resume, application form, background check results
- Onboarding: Offer letter, employment contract, NDA
- Government IDs: Copies of SSS, TIN, PhilHealth, Pag-IBIG cards
- Medical: Medical certificates, fit-to-work clearances
- Performance: Performance evaluations, PIPs
- Disciplinary: Notices, memos, hearing results
- Separation: Resignation letter, clearance, COE
Uploading Documents
- Go to the employee's profile and click Documents
- Click Upload Document
- Select the document category and enter the document name
- Set an expiry date if applicable (e.g., medical certificates)
- Upload the file (PDF, JPG, PNG supported)
Document Expiry Tracking
CoinTrack Pro tracks document expiry dates and sends notifications to HR when documents are nearing expiration — ensuring compliance documents are always up to date.
