201 Files & Document Management

CoinTrack Pro provides a digital 201 file system for each employee, keeping all employment documents organized and accessible.

Document Categories

  • Pre-Employment: Resume, application form, background check results
  • Onboarding: Offer letter, employment contract, NDA
  • Government IDs: Copies of SSS, TIN, PhilHealth, Pag-IBIG cards
  • Medical: Medical certificates, fit-to-work clearances
  • Performance: Performance evaluations, PIPs
  • Disciplinary: Notices, memos, hearing results
  • Separation: Resignation letter, clearance, COE

Uploading Documents

  1. Go to the employee's profile and click Documents
  2. Click Upload Document
  3. Select the document category and enter the document name
  4. Set an expiry date if applicable (e.g., medical certificates)
  5. Upload the file (PDF, JPG, PNG supported)

Document Expiry Tracking

CoinTrack Pro tracks document expiry dates and sends notifications to HR when documents are nearing expiration — ensuring compliance documents are always up to date.
